ORCID iDs - adding in production
Below are instructions on what to do when an author requests the addition of an ORCID iD at any time after acceptance, including if you find that there is a duplicate iD in your paper:
For new iDs being added during production:
1. Even if you have been provided with an iD, you must send a new ORCID email request to the author via EJP. iD's can only be added if they have been authenticated via the EJP process. To send this letter, click the author name in the article's EJP record. Then click the button next to the ORCID in the person record. This will open an editable letter. Be sure to leave the link as is.
You will not be alerted when the author adds the iD. You must remember to check back in EJP.
2. When the author authenticates their ORCID, EJP will automatically update, but not JPS. You will not be alerted so must remember to check back in EJP. When available, copy and paste the iD from EJP into the article. Make sure to always copy and paste. Don't type it out, as that could easily introduce typos.
4a. If you are adding the new iD to the eXtyles metadata file, copy another author's <contrib-id> and paste it directly before the author's surname. Replace the ORCID number with the proper one, and change authenticated="true" to authenticated="false".
e.g.,
<contrib contrib-type="author" corresp="yes"><contrib-id contrib-id-type="orcid" authenticated="false">http://orcid.org/0000-0002-9991-9505</contrib-id><name><surname>Cuellar</surname><given-names>Trinna L.</given-names></name>
4b. If you are adding the iD in PFX, just paste it in the correct ORCID field.
5. Ask Camille or Rob to add the ORCID into the author's JPS record.
For duplicate or incorrect iDs identified during production:
1. Ask Camille or Rob to delete the false ORCID in the author's JPS profile.
2. Regenerate the metadata in JPS if you have not already sent the article out for copyediting. If a proof was already created, edit the ORCID in Proof Central.
3. Remove the false ORCID from the author's EJP before requesting a new one. Send a new ORCID email request to the affected author via EJP. iD's can only be added if they have been authenticated via the EJP process. To send this letter, click the author name in the article's EJP record. Then click the button next to the ORCID in the person record. This will open an editable letter. Be sure to leave the link as is.
