Name Changes
(post-publication)
Policy
(Public policy available at https://rupress.org/pages/name-change-policy)
We will accommodate requests for name changes at any time and for any reason, including changes to gender identity, marriage, divorce, religion, or other personal circumstances. Changes will be made to any RUP articles authored by the requesting individual and will include HTML, PDF, and associated metadata. Changes will be directly and immediately pushed to Crossref, PubMed, and PMC. Names will also be updated in RUP submission, production, and subscription systems as needed. Previous versions of the article are retained on our servers for record-keeping purposes but will not be publicly accessible. Changes will not be made to citations or reference lists.
Unless instructed otherwise, requests will be managed confidentially. We will not issue a formal correction, and we will not notify co-authors of name changes except if explicitly requested. The number of staff involved in the change should be kept to a minimum.
Authors are encouraged to update the name in their ORCID record to help ensure that the correct name is associated with their published research. If published articles associated with the name change do not include their ORCID iD, we will add one upon request.
To request the change, authors complete this form and email it to namechange@rupress.org. These alerts go directly to Rob.
Workflow
Once the change is submitted, the PE of the journal(s) involved will be alerted.
Rob will
Update EJP and JPS person profile(s)
If an ORCID has been provided that did not exist previously, send an ORCID request via EJP.
Update manuscript records in EJP and JPS
Update Sitemanager and Campaigner
The form request will be emailed to the EJP and JPS record (if they exist)
PE will handle resupplies
Update XML and PDF with new name/initials/pronouns anywhere they appear in the article (author line, corresponding author info, Acknowledgments paragraph if/when applicable) with the exception of references and citations.
If the author has provided an ORCID ID that did not exist previously, add it to the articles.
Resupply to Silverchair and PMC (via TNQ)
Update archive as usual with resupplies
Update the PubMed record via PMDM
Alert Google Scholar to the change after article is update online (provide URLs and new name to scholar-pub-changes@google.com)
If the author has requested a formal correction be published, ask the journal's managing editor to get approval form all authors. The correction text should be something like:
The author line in this article has been updated to reflect an author name change. <original name> has been changed to <new name>.
