Print issues
JCB and JEM switched to Sheridan's Print on Demand service beginning with the September 2, 2024 issue. For now, JGP will keep its current workflow.
You can find the Print on Demand specs here.
*Saddle stitch issues cannot use Print on Demand. Spine calculator: https://www.sheridan.com/resources/pod-perfect-bound-calculator/
Workflow for Print on Demand
Production Editors: Note that the page count must be divisible by 4. Add blank pages if necessary.
TNQ will place issue print files on Dropbox here for JCB and here for JEM and notify Production Editors via email.
Production Editors will download, review, and approve the files (one cover PDF and one text PDF; Erinn must approve the cover). There will no longer be a bluelines review. There is no need to send press runs to Sheridan, but they should still be added to JPS, just for the record.
Print and mail files must be uploaded to Sheridan Select portal. A video of how to use the site can be found here: Rockefeller Select IP Training-20240717_140451-Meeting Recording.mp4. Detailed written instructions can be found here, but a simple summary is provided below.
Fulfillment (Dan):
Go to Place POD Order and click Upload Order File at the top to upload a csv file (template will be provided) of addresses. Choose "With Header Row." Headers must be mapped upon first use. (Note that the Add Address button can be used to add one address; blue fields will display on shipping label.)
green light = issue files have been uploaded
yellow light = issue files are in the process of being uploaded
red light = issue files have not yet been uploaded; order can still be placed
Click Continue button at top of page and then Save Order.
Production Editors:
Go to Journal POD/Upload POD Files Only and add issue info.
Upload separate cover and text PDFs on the right side of the next page, under "Certified Submission."
It is the Production Editor's responsibility to make sure the print files are uploaded, the order addresses have been uploaded, and the light turns green, meaning the print order has been placed successfully.
To check if the POD order has been placed, click on “Order History” under the “My Orders” dropdown menu. In the screenshot below, you can see that Dan placed a POD order on 9/27.
Clicking on the order date will bring up order details. If you scroll to the bottom, you can see the journals included in the order and their status. Here, JEM is green because the Production Editor uploaded the issue files, and JCB is red because the files have not been uploaded yet.
*After uploading the print files and addresses, the order cannot be canceled. The issue will be printed 3-5 business days after order is placed.
China Addresses – Returns
Susan to review with Asendia on other options for RUP to reduce the number of claim/return copies.
Mailing
USPS Mailfast is the default when when shipping less than 9 issues to a single address. FedEx Ground is used for >9 per address.
Statement of Ownership: RUP does not need to complete a SOO, but does need to submit a letter of abandonment to the USPS office. Here is a sample.
Author orders
Orders of journal issues should be placed through the POD site. Orders of reprints and posters will be handled separately from POD; those orders should be sent to Catherine at Sheridan (Catherine.DiPinto@sheridan.com) outside of the Select system. Sheridan will create reprints from the issue files we upload to the Select portal; there is no need to provide them with individual article files.
(Note that, as of 9/13/2024, we will no longer send printed cover flats to authors when they request them. We email high-resolution PDFs of the cover to the primary author. If you need a copy, ask Camille.)
