Metadata checklist
General
☐ All JPS metadata: Compare JPS against article, including
☐ Title, short title (including special characters and formatting)
☐ Author names (including middle initials and special characters) and list order
☐ Any second (or third) CA
☐ DOI, issue, volume, all dates
☐ Monitoring editor (JGP only)
☐ Subjects/collections
☐ Open Access type matches copyright form. If OA type changes,
o Get new form from Managing Editor
o Update Open Access, Copyright, and OA for Billing fields; regenerate articlemeta
o If article is past the copyediting stage, follow these instructions
☐ Group Authorship Name field: if filled in, see last item on this sheet
☐ Data availability statement: Required for all research articles
☐ Linked manuscripts: Related article link needed?
☐ Graphical abstract? Tagging needed in XML file
☐ Check the Notes tab in JPS and any sticky notes
Authors and affiliations
☐ Credits: Make sure authors are given the correct Credits in the proof
☐ Disclosures: proof should contain the combined statement
☐ RORs: If no ID in the JPS Manuscript Affiliation(s) field, retype to see if a ROR comes up (e.g., a parent of the affiliation)
☐ Request the institute be assigned an ID at ROR.org if there is none
☐ Country codes: If a country is added or changed in Proof Express, add/edit the code in the XML. Use lowercase letters. You can find the code here.
Funding
☐ Funding section: If funder has no DOI, double check using the Crossref API search
☐ Read & Publish deals: The R&P icon or “Yes” in the R&P Deal field means we have a Read & Publish deal with the CA’s institution.
☐ Search the R&P Deals Google sheet for the institute listed in the Manuscript Affiliation field. Insert any required funding statement to the Ack. Add institution to the funding section if not already included.
Special circumstances
☐ Moving article to another issue: See instructions here.
o If the proof was already generated, you need to edit the XML; simply changing the issue/volume number in Proof Express is not enough.
☐ Collaboration in author list: Group members, if provided, should be properly tagged in the XML and listed in a footnote. Follow the instructions here.
☐ Resupplies: If the metadata has been affected (added or removed an author; change to RORs, funding information, license type, etc.), we need to update the OAS record.
o After you have updated the metadata in JPS and after you have published the resupply, go to the Tasks tab in JPS and click Advanced Manuscript Tasks/Send Updated Metadata to OAS.
